 Role Snapshot:  

 

 

The GEA Coordinator/ Receptionist provides reception duties and acts as the GEA resource in smaller branch operations. Based at the Reception station, the incumbent is also responsible for purchasing, site security, environmental management and light-duty maintenance. Occasionally required to make decisions in order to avoid compromising the security of the operation when immediate supervisor cannot be reached. The Coordinator/ Receptionist also plays a critical role in the set-up and maintenance of the management systems required to ensure local compliance to ISO 14001.  

 

 

Responsibilities

Key Responsibilities (“Do”)

 

 

  • Answers, coordinates and affects the transfer of all incoming calls.
  • Initiates and supports actions to correct telephone system problems originating in the PBX at their work station (i.e., alerts IT, supports IT in their interface with the system contractor)
  • Discharges all customer (internal & external) interface duties in a manner consistent with and supportive of Canon’s market-place image (i.e. professional, courteous, respectful), thus supporting the total customer experience goals of Canon Canada Inc.
  • Perform duties assigned as part of the location’s safety, security and emergency response plans.
  • In the event of a site emergency, and in the absence of a supervisor/manager, this employee leads the local emergency response.
  • Perform, as assigned, other GEA duties to support the location, including but not limited to:

 

i. Ordering and receipt of various office supplies, including initiation of P.O.s and A/P vouchers in the CCI21 system.

 

ii. Processing and handling of all internal/external mail and courier packages

 

iii. Acting as primary interface for contractors performing duties (e.g., plumbing repair) at the location, including the direction and oversight of their work

 

iv. Compilation and analysis of operational data, such as utility consumption.  

 

 

  • Support the overall business initiatives of the location, by performing miscellaneous assigned tasks, such as supporting the compilation of sales quotations
  • Primary local responsibility for ensuring ISO 14001 compliance by maintaining accurate facility records and files, such as MSDS documentation, training appropriate staff in chemical spill response procedures, and ensuring the proper labeling and storage of all chemical/hazardous materials.

 

Qualifications

 

Qualifications

 

  • 1 year of related work experience, with typing ability of approximately 40 wpm.
  • Superior communications and interpersonal skills (professional demeanor) – excellent telephone manner
  • Customer (internal & external) focused
  • Computer literate, (Microsoft Office, Lotus Notes)
  • Ability to use reasonable judgment to make decisions – for example, in the event of a local emergency response – when immediate leader cannot be consulted
